Privacy Policy

This Privacy Policy explains what information Twikist collects, how we use it, and the choices you have. It applies to your use of the Twikist workspace and website.

1. Information we collect

Account information you provide, such as your name and email address.

Content you create, including notes, boards, tables, comments, and uploads.

Usage and device data we collect automatically to operate and secure the Service.

Payment information, which is handled by our payment provider — we do not store full card details.

2. How we use your information

We use your information to provide and improve Twikist, authenticate you, process subscriptions, send service-related messages, and respond to support requests.

3. AI processing

When you use Twikist's AI features, relevant parts of your own workspace content are sent to our AI provider to generate answers and suggestions.

AI runs are scoped to your access permissions and operate only over content within your workspace. We do not use your content to train third-party foundation models.

4. How we share information

We do not sell your personal data. We share data only with service providers that help us run Twikist — such as hosting, payments, email delivery, and AI processing — under appropriate confidentiality and security obligations.

We may also disclose information where required by law.

5. Data retention

We keep your data while your account is active.

When you delete your account we hold it for 7 days before anything is removed, so you can change your mind by signing in and cancelling. After those 7 days the deletion runs and cannot be undone.

Deleting your account removes your personal workspace and everything in it, together with any shared workspace where you were the only member. Your own comments are deleted everywhere, including in workspaces that continue without you. Notes, boards, files and projects you created in shared workspaces stay with those workspaces, but they are no longer linked to you — your name is removed from them. Discussion threads you started remain, anonymously, so that other people's replies are not destroyed along with them.

Names that appear inside the text of a document stay in that document. That text is part of someone's work, and removing words from it would be editing their content rather than deleting yours.

After an account is deleted we keep a record that the deletion happened for up to 2 years, and a separate anti-abuse record for up to 3 years. The anti-abuse record does not store your email address: it stores a one-way cryptographic value derived from it, which we use to stop repeated deletion and re-registration being used to obtain unlimited free usage. Deleting an account also starts a temporary cooldown during which the same address cannot be used to open a new account — 7 days after a first deletion, rising to 30 and then 90 days if the same address is deleted repeatedly. Once the cooldown has passed, the address can be used again, even though the anti-abuse record itself is retained for longer.

We may keep records for longer where the law requires it.

6. Security

We use industry-standard measures to protect your data, including encryption in transit and support for passwordless sign-in with passkeys. No method of transmission or storage is completely secure, but we work hard to protect your information.

7. Your rights

Depending on where you live, you may have the right to access, export, correct, or delete your personal data. You can manage most of this yourself from your account settings, or contact us to make a request.

Deleting your account is self-serve: Settings → Data & privacy. We email you a confirmation code, and the deletion takes effect after the 7-day grace period described above.

You can download a copy of your data from the same place, once every 7 days. The export is a JSON file containing your profile, your account and workspace records, and the content of the notes you still have access to. We email you when it is ready; the download requires you to be signed in, and stays available for 7 days.

8. Cookies

We use essential cookies to keep you signed in and remember your preferences. We do not use them to track you across other websites.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the date above and, where appropriate, notify you.
